1. Introduction

Gromby LLC (“Gromby,” “we,” “us,” or “our”) operates the website ai.gromby.com and related services (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our products, or otherwise interact with our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Information You Provide

  • Name, email address, and company name (via opt-in forms)
  • Phone number (if provided for callback or demo purposes)
  • Business website URL (used to generate personalized AI demos)
  • Quiz responses and form submissions
  • Payment information (processed securely by Stripe; we do not store card numbers)

Information Collected Automatically

  • IP address, browser type, operating system, and device information
  • Pages visited, time on page, and referring URL
  • Cookies and similar tracking technologies (see Section 6)

Website Scraping Data

When you provide your business website URL, we use an automated service (Firecrawl) to extract publicly available information from your website, including business name, services offered, contact information, FAQs, testimonials, and a screenshot of your homepage. This data is used solely to generate a personalized AI voice/chat demo and revenue analysis for your review.

Voice and Chat Interaction Data

If you interact with our AI demo (voice call or text chat), we record the transcript and, for voice calls, the audio recording. These are used to demonstrate our product capabilities and, if you have purchased a Secret Shopper Call, to generate your scorecard report. Recordings and transcripts are stored securely and are not shared with third parties for marketing purposes.

3. How We Use Your Information

  • To generate and deliver personalized AI demos based on your business website
  • To process purchases and deliver paid products (Secret Shopper Calls, scorecards, reports)
  • To send transactional emails (order confirmations, call recordings, scorecard results)
  • To communicate with you about your account, orders, or inquiries
  • To improve our Service through analytics and product development
  • To comply with legal obligations

4. How We Share Your Information

We do not sell your personal information. We share data only with:

  • Service providers who perform services on our behalf, including:
    • Stripe (payment processing)
    • Mailgun (transactional email delivery)
    • Convex (database hosting)
    • Retell AI (voice and chat AI agent infrastructure)
    • Firecrawl (website content extraction)
    • Vercel (website hosting)
    • GoHighLevel (CRM, workflow automation)
  • Advertising platforms: We share limited data (email, name, purchase events) with Meta (Facebook) via the Conversions API and Meta Pixel for advertising measurement and optimization. You can opt out of targeted advertising through your Facebook ad settings.
  • Analytics: We use PostHog for product analytics. PostHog processes usage data to help us understand how people use our Service.
  • Legal requirements: We may disclose your information if required by law, regulation, or legal process.

5. Secret Shopper Call Service

If you purchase a Secret Shopper Call, our AI agent will place mystery shopper calls to the business phone number associated with your account. These calls are recorded and analyzed to generate a performance scorecard. By purchasing this service, you represent that you have authority to authorize calls to the provided business phone number.

If you purchase the Competitor Spy Call add-on, you provide a competitor’s business phone number. We will place a single mystery shopper call to that number. You represent that this call is for legitimate business intelligence purposes.

Call recordings are stored securely and accessible only to the purchaser. Recordings are retained for 90 days after generation unless you request earlier deletion.

6. Cookies and Tracking Technologies

We use the following cookies and tracking technologies:

  • Essential cookies: Required for the Service to function (session management, authentication).
  • Analytics cookies: PostHog analytics to understand usage patterns.
  • Advertising cookies: Meta Pixel for advertising measurement and conversion tracking.

You can control cookies through your browser settings. Disabling certain cookies may affect Service functionality.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you the Service. Lead information is retained for up to 24 months after last activity. Payment records are retained as required for accounting and tax compliance. You may request deletion of your data at any time by contacting us.

8. Data Security
